DGF Group: Custom Software for Grain, Feed & Retail Operations

The Project

DGF Group runs three businesses at once out of Palmerston North: drying and storing grain for local growers, milling and delivering custom stock feed to dairy farms, and a newly opened retail counter for seed and farm chemicals. Each business ran on its own spreadsheets, a paper weighbridge docket book, and a separate trucking app, with nothing connected. The same information, a client's details, a delivery, a stock level, often had to be entered two or three times, and month-end reconciliation was manual.

Pulsebay built DGF a single web platform bringing grain, feed and retail into one place, so their team can quote a farmer, check stock, log a truckload and see the whole business from one dashboard. All three phases are built, and the platform is in testing with DGF's team ahead of go-live.

The Challenge

DGF's systems had grown business by business, with no shared data between them. Feed stockholdings, monthly orders, feed mill production and grain intake each lived in separate spreadsheets. The blend calculator reps used to quote custom dairy feed was a macro-heavy spreadsheet with pricing that needed to stay hidden from reps while still updating live. Grain intake ran on a paper docket, with drying charges calculated by hand. Dispatch ran through a third-party trucking app that needed to stay in place, not be replaced.

A client's details could exist in three different systems. Stock levels had to be reconciled by hand every month. And the new retail arm, its own stock, suppliers and reorder levels, had nowhere to plug in.

Our Solution

We delivered a single platform for DGF, phased so their team had working software to test early:

Phase 1: CRM, Stockholdings & Blend Calculator. One client record across all three businesses, a live stock ledger replacing manual reconciliation, and a rebuilt blend calculator running DGF's existing recipe, nutrition and freight-zone logic as a shared tool reps can use from a phone, with margin and cost data hidden from anyone who shouldn't see it.

Phase 2: Retail. Seed and agrichemical inventory, supplier reorder levels, and retail order management, built into the same platform as the feed and grain side rather than bolted on separately.

Phase 3: Grain Intake, Drying & Storage. A digital weighbridge form that runs DGF's drying and shrinkage formulas automatically, tracking grain by owner in a proper ledger instead of a paper trail.

Before writing production code, we built DGF a fully clickable prototype of every screen and reviewed it with their team, so the details only they would know, how a sale actually happens, what "committed stock" should mean, how their docket is laid out, were corrected before anything was built rather than after. With all three phases now complete, that same attention to detail has carried into testing.

A client's details, stock levels and orders live in one place instead of three. The platform is in its final testing phase, with go-live to follow.
